Milestone Backup Tool — Privacy Policy

Milestone Backup Tool is developed and published by KØHAI Global Ltd. It is a Windows administrator utility used to back up and restore Milestone / XProtect video management servers. This Privacy Policy explains how the application handles information and how that relates to your rights under the UK GDPR and Data Protection Act 2018, the EU General Data Protection Regulation (GDPR), and the California Consumer Privacy Act (CCPA).

1. Summary

Milestone Backup Tool runs entirely on your own Windows machine. It does not connect to KØHAI Global Ltd, does not send telemetry, does not check for updates over the network, does not send crash reports, and does not include any analytics or advertising. We do not receive, store, or have access to any information about you or your systems as a result of your use of the application.

2. Information We Collect

KØHAI Global Ltd does not collect any information from users of Milestone Backup Tool. The application does not transmit data to us or to any third party.

The application does, however, read, generate, and store information locally on the Windows machine on which it is installed. This data never leaves your machine and is not accessible to KØHAI Global Ltd. It includes:

  • Application configuration: Backup source and destination paths, SQL Server connection details, service names, retention settings, window size, and other preferences. Stored in the user’s local application data folder.
  • SQL Server password (if provided): If you choose to supply a SQL Server password for database backups, it is encrypted using the Windows Data Protection API (DPAPI) scoped to the current Windows user on the current machine, and stored in your local configuration file. It cannot be decrypted by any other user or on any other machine, and it is not transmitted anywhere.
  • Backup output: SQL database backup files (produced by Microsoft’s sqlcmd.exe) and a mirrored copy of the Milestone ProgramData directory (produced by Microsoft’s robocopy.exe), written to the backup destination you specify. These files are created by you, belong to you, and are stored only where you direct the application to write them.
  • Local logs and history: An on-screen activity log and a local backup history record (run timestamps, durations, success/failure, file counts, error messages) stored on your machine for your reference.
  • Scheduled tasks: If you use the schedule feature, the application creates a Windows Scheduled Task via the built-in schtasks.exe utility. The schedule lives in Windows Task Scheduler under the account that created it. No schedule information is sent to KØHAI Global Ltd.

3. Information We Do Not Collect

Milestone Backup Tool does not collect, store, or transmit:

  • Personal identification information
  • Account credentials, tokens, or licence keys
  • Machine identifiers, IP addresses, or hardware fingerprints
  • Video footage, camera metadata, or any content from the Milestone / XProtect databases
  • Location data
  • Advertising identifiers
  • Analytics, telemetry, or usage tracking of any kind
  • Crash reports or diagnostic logs

4. Data Storage and Security

All data handled by the application is stored locally on the machine where it is installed. The application requires Windows administrator privileges to control services and perform SQL backups; you are responsible for securing the machine, the destination backup location, and the Windows account under which the application runs. SQL Server passwords supplied to the application are protected at rest using the Windows Data Protection API (DPAPI) and are bound to the current Windows user profile on the current machine.

Because the application does not transmit data, there are no network transfers for KØHAI Global Ltd to secure, and we hold no backups, credentials, or configuration data on your behalf.

5. Third-Party Services

Milestone Backup Tool does not integrate any third-party analytics, advertising, tracking, telemetry, or crash-reporting services. The only external components it invokes are Microsoft Windows system utilities that ship with your operating system or with Microsoft SQL Server tooling — specifically sqlcmd.exe, robocopy.exe, sc.exe / the Service Control Manager, and schtasks.exe. These utilities run locally on your machine.

6. Your Rights Under GDPR, UK GDPR, and the CCPA

Because KØHAI Global Ltd does not collect, receive, or process any personal data through Milestone Backup Tool, we are not a data controller or data processor in respect of your use of the application, and we hold no personal data to which a data subject or consumer request could apply.

Where personal data is handled entirely on your own device by software you operate, you (or your organisation) are the controller of that data. The rights granted to you under the UK GDPR, the EU GDPR, and the CCPA — including the rights of access, rectification, erasure, restriction, portability, objection, and non-discrimination, and the right to know what personal information is collected or “sold” — are accordingly exercisable against your own systems and, where applicable, your organisation’s data-protection function. We do not sell or share personal information, because we do not receive any.

If you believe you have provided us with personal information through other means (for example, by contacting us about the application), you may exercise your rights by contacting us using the details in Section 9.

7. Children’s Privacy

Milestone Backup Tool is a professional tool for Windows system administrators and is not directed at children under the age of 13 (or 16 in applicable EU jurisdictions). We do not knowingly collect personal information from children.

8. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated effective date.
